How to submit a paper by e-mail

Text:
Your paper should be a TeX or LaTeX file with lines not longer than 80 characters.
All nonstandard TeX macros or definitions must be defined within the file, style files not available at the E-prints archives should be sent with the file.

Figures:
It is recommended to include postscript figures into the paper with psfig or epsfig.
Send your figure files together with the TeX file (and style files)
packed (tar-compressed and uuencoded) using the uufiles utility.

Header:
The electronic archives need a special header preceding the text (+figures) file in the following format:

Title:
Should be readable text - avoid illegible TeX sequences.
Author:
Use the form: first name(s) familyname
(first name(s) may be abbreviated by initial, followed by '.' and a blank)
seperate multiple authors by ', ' or ' and '.
Affiliations (without addresses) can be added in parentheses
Comments:
number of pages, number of figures, (tex flavors, conference or journal,to which paper has been submitted,...) For including an URL, see help of E-prints archives.
Report-no:
Publication number(s) of your institution(s).
Subj-class:
for the cond-mat , math and physics archives.
For the cond-mat archive you may indicate the Subj-class,
for the physics and math archives it is obligatory .
Journal-Ref:
full bibliographic reference - only if paper has already been published in a journal or conference proceedings, must contain journal- or book-title, volume number, year and page number.
MSC-class:
Mathematical classification code for the math archive only

The abstract is used only for the listings and will not be TeXed, avoid illegible TeX sequences and unnecessary blank lines.

If a field does not apply to your paper, omit it. Do not include any extra fields.

Submit

Find name and e-mail address of the appropriate archive from list .

The archive paper number can be inserted directly into the TeX file
(typically on the title page together with the local report numbers) using the encoded form
arch-ive/yymmnnn (replace arch-ive by the name of the selected archive).
The sequence 'yymmnnn' will be translated to the correct paper number assigned after submission.

 Example:   hep-th/yymmnnn    transforms to e.g.   hep-th/9710323

For submission use any mail program.
The command 'put' must be placed in the ' Subject ' field of the mail program,
the header followed by the (packed) text (+figures) file in the ' Message ' area.

After submission, you will get an answer mail from the archive, which helps you to check the correctness of all important items. It includes the (preliminary till the next day) archive paper number, and a URL that will allow you to view the PostScript version generated, together with a username/password for viewing it. If you detect any errors, replace the paper!

Replacing a paper

If possible, avoid premature submissions and submit only a final version.
Prepare a new submission file in the same way as described (add in the 'Comments' field of the header the nature of the changes).
Never use the command 'put' to resubmit a paper, instead use the 'replace' command together with the paper-number

Creating a cross reference in another preprint archive

Never submit a preprint to more than one preprint archive. Instead use the command
'cross arch-ive/paper-number' with the paper-number of the original archive.
Send only the header (title, author(s),...,abstract) to the second archive.

Before cross listing it is preferable to wait a day until the paper number is final.
Please avoid excessive cross listings!

Adding the reference after publication of the preprint

Use the command 'published (paper number) (reference)' in the subject field.

uufiles

This is only a short instruction how to use the uufiles program, which creates from given files one file combining the uuencode, tar and gzip commands.
For a complete description have a look at the E-prints archives help.

Be sure that all files you want to submit are in one directory.
Be careful with the choice of file names: If you submit a file name.tex don't submit a file name.ps too, because it will be automatically removed at the E-print archive to allow dvips to create the Postscript file from your TeX file.

Type the command: uufiles -gz (Enter)
You will be prompted for the directory
    directory with files to be archived: 
Type [directory-name] (Enter)
and you will be prompted for the files
   files (e.g. *.ps, file1 file2 file3, or * for all):
type [your file-names] (Enter) and you will be prompted for an output filename:
   output file (will create name.tar.gz uuencoded as name.uu) name:
Type [file-name] (Enter).
Typing mypaper will create the file mypaper.uu.
It is recommended to check by unpacking, whether the uu-file contains exactly the files you want to send to the archive.
